Terms and conditions of use

At the time of making a reservation, please note that we need the following information:

  • Full name of the client.
  • Passport number.
  • Date of birth.
  • Nationality.
  • When making the reservation of the Inca Trail, a copy of the passports will also be needed.

Payments and penalties for cancellation for Individuals:

  • When reserving the Inca Trail or the tickets to Huayna Picchu and Machu Picchu, a non-refundable deposit is required. The amount varies according to the number of travelers. Your Universal Machu Picchu specialist will inform you in a timely manner.
  • Payment must be made 50 days prior to arrival. The exception applies, please read below.
  • At the Belmond Sanctuary Lodge or any of the InkaTerra properties: Payment is due 50 days prior to arrival.
  • At InkaTerra properties, a 20% non-refundable deposit payment is required 95 days prior to arrival. Reserves the right to request this 20% non-refundable deposit at any time.
  • Cancellation of all hotel nights for reservations that are canceled within 35 days prior to arrival, except at Belmond Sanctuary Lodge and Inkaterra properties.
  • Cancellation of all hotel nights at the Sanctuary Lodge and at Inkaterra Properties when reservations are canceled within 50 days prior to arrival.
  • 100% penalty for transfers and excursions canceled within 15 days prior to the arrival date.
  • 100% penalty for canceled flights once the tickets are issued.
  • Peru Rail allows individuals to cancel without penalty, up to 40 days prior to the departure date.

Payments and penalties for cancellation for Groups:

  • When reserving the Inca Trail or the tickets to Huayna Picchu and Machu Picchu, a deposit is required. The amount varies according to the number of travelers. Your Universal Machu Picchu specialist will inform you in a timely manner.
  • Payment must be made 50 or 65 days prior to arrival, depending on the selected hotels.
  • A preliminary accommodation list is established 90 days prior to the arrival date.
  • A final accommodation list will be established 50 days prior to arrival. (Some exceptions apply, please see the next paragraph).
  • The following hotels require a final accommodation list and payment, 65 days prior to arrival: Belmond hotels (except Belmond Machu Picchu Sanctuary Lodge), Hotel Sumaq Machu Picchu, InkaTerra Properties, J.W.Marriott.
  • Inkaterra properties require a 20% non-refundable deposit, 95 days prior to arrival. Reserves the right to request this 20% non-refundable deposit at any time.
  • The cancellation penalty of “all nights” will be given for canceled hotel reservations, once the final accommodation list has been granted.
  • PeruRail allows cancellations without penalty for groups, 40 days before the departure date.
  • A 100% penalty applies for transfers and excursions canceled within 30 days of the arrival date.
  • A 100% penalty is applied for canceled flights once the tickets have been issued.

Train service regulations:

  • The railway companies have introduced new provisions regarding the luggage that is allowed on the trains to Machu Picchu. Only one hand baggage of a maximum of 5 kg (11 pounds) and a dimension of 157 cm (62 inches) is allowed per passenger. This restriction has been introduced since the emergency exits in the trains were constantly blocked with the luggage of the passengers.
  • Clients must carry hand luggage if they plan to spend the night in Aguas Calientes, Machu Picchu or the Sacred Valley.

Baggage allowed:

  • Each passenger can carry: 1 briefcase or backpack of 05 kg/11lb, 62 inches/157 cm (length, height, width. Baggage that exceeds these measurements will not be allowed.

EXEMPTION FROM SALES TAX (VAT)

  • The payment of 18% VAT does not apply to hotel rates for foreign travelers, non-residents in Peru.
  • The exemption applies only if travelers show their original documentation (identity document) at the time of check-in at the hotel together with the customs form stamped by the Peruvian authorities. The traveler whose stay in the country exceeds 60 days is not eligible for this exemption.

SALES TAX (VAT) IN CASE OF “NO PRESENTATION”

  • In the event that the passenger does not make use of the services reserved (“no show”), the amount billed by the hotel is subject to an additional payment of 18% sales tax, in accordance with Peruvian tax regulations; which means, that the exemption for foreign travelers in case of “no show” does not apply.
